Preparing taxes from a client's Kept tax pack? Here is what is in it.
Help
Getting good scans
Tap Capture to scan a paper receipt. Kept finds the edges and straightens the page for you.
- Lay the receipt flat on a dark surface, in good light, without shadows across it.
- Fit the whole receipt in view, including the store name at the top and the total.
- For a long receipt, scan it in parts, then choose One receipt, multiple pages.
- Scanned several receipts in a row? Choose Separate receipts before you save.
- A page came out blurry? Retake that page before you save.
Receipts already on your phone come in too: long press Capture and choose Import photos or Import file, or share a receipt to Kept from another app. Files can be PDFs of up to 20 pages.
If you allow AI reading, Kept fills in the merchant, date, and total, and asks you to check anything it is unsure of in Needs review.
Forwarding email receipts
Kept gives you your own email address. Receipts you forward to it are kept and read like the ones you scan.
- Open Settings, Email inbox, to see your Kept address. Copy it, or share it.
- Tap Add a sender and enter the email address you forward from. Kept emails it a code to check it is yours.
- Forward a receipt from that address to your Kept address.
Kept keeps each PDF or image attached to the email as its own receipt. An email with nothing attached is kept as the receipt itself. Email from an address you haven't added isn't kept, and Home tells you which address it came from, so you can verify it and forward the email again.
Forwarding needs AI reading, which you can turn on in Settings, Data and privacy.
What counts as a free read
On the free plan, Kept reads up to 15 receipts a month for you. Home shows how many you have left.
- Each receipt Kept reads counts once, whether you scanned, imported, shared, or forwarded it, and however many pages it has.
- Entering a receipt's details yourself, or changing them later, doesn't count.
- A receipt counts only once, even if Kept reads it again.
Once the month's free reads are used, new receipts are still kept. They wait, marked Waiting to be read, and you can enter their details yourself at any time, for free. Next month, or as soon as you upgrade to Kept Pro, tap Read now on them.
The count starts again each month, at midnight UTC: in the US, that is the afternoon or evening of the last day of the month. Tap the count on Home to see when.
- Kept Pro gives you unlimited receipts. Free reads 15 a month.
- It adds the tax pack: the PDF summary, CSV and original images for your accountant.
- And every receipt is read right away, with no waiting for next month's reads.
- Kept Pro comes yearly, with 14 days free, or monthly. Kept shows the price before you subscribe.
Making a tax pack
With Kept Pro, open Export, choose the period, and tap Create tax pack. The pack has a summary PDF with totals by tax category, a spreadsheet of every receipt, and PDFs of the receipts themselves, with the original images if you ask for them.
- Business spending is included. Turn on personal spending too if you need it.
- Narrow the pack to some categories or tags if you like.
- Receipts that still need review are marked in the pack. Tap Review first to check them before you make the pack.
When the pack is ready, tap Share pack to send it, or Save to device to keep a copy.
On any plan, Settings, Export all my data gives you every receipt and file you keep in Kept.
Choosing a category
Kept suggests a category for each receipt, following the lines of IRS Schedule C. Change it on the receipt whenever it looks wrong; Kept remembers your choice for that merchant.
- Meals while you travel go under Meals, not Travel. Travel is getting there and staying there: flights, hotels, and rides.
- Tickets, shows, and other entertainment aren't meals, so keep them out of Meals.
- Meals are shown in full in your tax pack. Most business meals are limited to 50%, and your tax professional applies the limit.
- Software, courses, and bank or payment fees are other expenses: listed in Part V and carried to line 27b.
- Equipment and furniture is for things that last more than a year, such as a laptop, a camera, or a desk. Your tax professional decides whether each is depreciated or expensed. Ink, paper, and other things you use up go under Supplies or Office expense.
- Inventory for resale and Materials for products are for things you sell or make into products. They're cost of goods sold, in Part III, and your tax professional also needs your inventory at the start and end of the year.
- Personal categories are for your own records and aren't on Schedule C.
- For business meals and travel, add the business purpose and who was there under For your tax professional, each person with how they relate to your business. Kept never makes you fill them in, but your tax professional may ask for them.
- Home rent, home utilities, and other costs of a workspace in your home go under Home office costs, which goes on Form 8829 rather than Schedule C. Rent for business property and Utilities are for an office, studio, or shop outside your home. Your tax professional may use the simplified method instead: $5 a square foot, up to 300 square feet.
- Your own health insurance goes under Health insurance (self employed), which goes on Schedule 1, not under Insurance (not health). Car insurance and car repairs go under Car and truck expenses, not Insurance or Repairs and maintenance.
- Taxes and licenses is for business licenses, permits, and taxes on the business. It isn't for income tax, self employment tax, estimated tax payments, penalties, or the sales tax on things you buy. Estimated tax payments have a category of their own, kept for your records: they're payments of tax, not expenses.
- Car and truck expenses count only if you use actual car expenses. With the standard mileage rate, parking, tolls, and the business share of car loan interest are added instead. Parking and tolls has its own category, which counts under either method.
- Business gifts are limited to $25 to one person a year. Add the recipient and how they relate to your business before you confirm the receipt. Wrapping and shipping don't count toward the $25, and items of $4 or less with your business name on them aren't gifts.
- Entertainment (not deductible) and Retirement contributions are kept apart from Schedule C: entertainment isn't deductible, and your own retirement contributions go on Schedule 1. The tax pack lists them in their own sections, outside the Schedule C totals.
When you're not sure where something goes, ask your tax professional. Kept is not tax advice.
Saving a copy of a receipt
Lost the paper receipt? Open it in Kept and choose Save a copy. You get the receipt as Kept keeps it, every page, for a return, a warranty, or your accountant.
Open the receipt, tap More at the top, then Save a copy and pick a folder in Files: each page is saved there as its own file. Share sends it to another app, or by AirDrop or Mail; a receipt of several pages goes as one ZIP file.
Open the receipt, tap More at the top, then Save a copy and pick a folder: each page is saved there as its own file. Share sends it to another app; a receipt of several pages goes as one ZIP file.
You can also tap a page to see it full screen and save or share it from there.
Billing, cancelling and refunds
Kept Pro is billed by the store you subscribed through, so you cancel it there. In Kept, Settings, Subscription, Manage subscription opens the right page.
On iPhone: open the Settings app, tap your name, then Subscriptions, then Kept, and tap Cancel Subscription.
On Android: open the Google Play Store app, tap your profile picture, then Payments and subscriptions, then Subscriptions, then Kept, and tap Cancel subscription.
Cancel at least 24 hours before the renewal date, or the store may charge for the next period. A free trial you cancel runs to its last day, and nothing is charged.
When you cancel, you keep Kept Pro until the end of the period you paid for. After that, you keep every receipt and every tax pack you've made, and Kept reads up to 15 receipts a month for you again. Nothing is deleted.
Refunds are handled by Apple, under its own policies. Ask for one at reportaproblem.apple.com: sign in with your Apple Account, find Kept, and choose the reason.
Refunds are handled by Google, under Google Play's refund policy. Ask for one from your order history in Google Play, as Google Play Help's refund page explains.
If a payment doesn't go through, the store keeps trying for a while, and Settings, Subscription says so. Update your payment method from Manage subscription. If Kept Pro ends, your receipts stay, and you can subscribe again at any time.
Deleting your Kept account does not cancel a subscription, so cancel it first.
How long receipts are kept
Receipts stay in Kept until you delete them or your account. Kept never deletes a receipt because of its age, so a record from years ago is still there when you need it.
Tax records are usually kept for at least 3 years after you file, and records for equipment until the year you sell it is closed. Deleting a business receipt from the last few tax years asks you first, so one tap cannot lose a record you may still need. Personal receipts are deleted with the usual confirm.
Right after you delete a receipt, tap Undo to bring it back. After that, it waits in Settings, Data and privacy, Recently deleted for 30 days, where Restore brings it back. Then it is removed from our servers for good.
Each May, after the usual filing deadline, Kept reminds you to save a copy of last year's records outside Kept: the tax pack with Kept Pro, or Export all my data on any plan. Turn it off in Settings, Notifications.
If Kept ever shuts down, you will have time to save everything first: the terms say how much notice you get. Settings, Export all my data saves every receipt and file at any time, on any plan.
Deleting your account
Open Settings, Data and privacy, Delete account. You can also delete your account on the Kept website, without the app.
Deleting your account permanently deletes your receipts with their photos, PDFs, and emails, your tax packs and data exports, your categories and tags, your Kept email address, and your account. It happens right away and cannot be undone. Your other phones signed in to Kept are signed out within an hour.
Want a copy first? Settings, Export all my data saves everything before you delete. Tax records are usually kept for at least 3 years after you file, so save the years you may still need.
Deleting your account does not cancel Kept Pro. Cancel it in the App Store first, so you are not billed again.
Deleting your account does not cancel Kept Pro. Cancel it in Google Play first, so you are not billed again.
When a receipt is read wrong
Kept reads each receipt and fills in its details. When it is unsure of one, the receipt waits in Needs review on Home, and that field says Check this.
- Open the receipt from Needs review on Home, or from Receipts.
- Tap the field that is wrong and type what the receipt says. The receipt stays above the fields, so you can compare.
- Tap Looks good once everything matches.
To see the words Kept read from the receipt, open What Kept read on the review screen.
When you change a receipt's category, or whether it's business or personal, Kept files that merchant the same way next time. You can see and remove those rules in Settings, Categories, How Kept files merchants.
If Kept could not read a receipt at all, it says so: enter its details yourself, or take its picture again.
How Kept reads receipts
Kept reads your receipts with AI only if you allow it. It asks before reading your first receipt. Your receipt images, PDFs, and forwarded emails then go to Anthropic, Kept's AI provider, which doesn't use them to train its models.
Turn it on or off at any time in Settings, Data and privacy, AI reading. While it is off, nothing is sent, and you enter the details of new receipts yourself.
The Privacy Policy explains what is sent and how it is handled.
Kept and your taxes
Kept organizes your receipts and suggests a category for each, following the lines of IRS Schedule C. The suggestions can be wrong, and amounts are shown in full, before IRS limits such as the 50% limit on most business meals. Whether an expense counts, and how much of it, is up to you and your tax professional.
